Photo and video studio, Hougang, Singapore

Terms of Service

Last updated: 1 October 2026

These Terms of Service set out the rules that apply when a person visits this website, contacts the studio desk, requests a quotation, places a booking or uses any part of the studio operated by FYO STUDIO PRIVATE LTD. The company runs a photo and video studio at 457 HOUGANG AVENUE 10, #04-427, 530457, Singapore (SG). Its services include studio floor hire, lighting grid setup, edit suite booking, set build carpentry, product shoot days and crew call coordination. By placing a booking or using the studio, the client accepts these terms together with the written scope for the job.

The terms are written to be read by people who are busy on a shoot day, so the language is direct. Where a separate written agreement has been signed for a large production, that agreement takes priority over these terms to the extent of any conflict. Where no separate agreement exists, these terms and the written scope together form the whole agreement between the client and the company.

About these terms

These terms apply from the moment a client requests a quotation or places a hold on a date. They continue to apply after the shoot ends for as long as records, files or payments remain relevant. If any part of these terms is found to be unenforceable, the rest of the terms continue in force, and the unenforceable part is read in the way that best matches the intention of the parties.

A quotation, a hold confirmation, a call sheet and a scope of work are all statements of intent until the desk confirms the booking in writing. A verbal agreement can be made on the phone for convenience, but the desk will always follow it with a written confirmation so that both sides have the same record.

Definitions

In these terms, the company means FYO STUDIO PRIVATE LTD. The client means the person or organisation that places the booking and is responsible for payment. The studio means the premises at 457 HOUGANG AVENUE 10, #04-427, 530457, Singapore (SG). The scope means the written description of rooms, hours, crew, materials and services prepared by the desk for a booking. Crew means the photographers, digitechs, stylists, hair and make up artists, grips, set dressers and runners engaged for a job. Client material means the files, images, audio, drawings and documents supplied by the client or created for the client during a job. Studio material means the equipment, set pieces, furniture and files owned by the company.

Booking and confirmation

A booking begins with a brief. The client sends dates, hours, the rooms needed, the crew size and a short description of the shoot. The desk checks the calendar and may place a temporary hold for a limited period, usually five business days, while the scope is agreed. A hold is not a booking and does not guarantee the date if another client confirms first and the hold has lapsed.

A booking is confirmed when the desk sends a written confirmation that lists the date, the hours, the rooms, the services and the price, and the client accepts it in writing. Where a deposit is required, the booking is confirmed when the deposit is received and the confirmation is issued. The desk may ask for a purchase order number, a company registration number or a billing address before the invoice is issued.

The studio takes one lead booking per floor per day by default. A second booking in the same room may be accepted only where both clients agree in writing to a shared arrangement, and the desk will set clear boundaries for access, noise and storage. The desk does not split a floor between two bookings without the written agreement of both clients.

Rates, invoices and payment

Rates are quoted in Singapore dollars unless another currency is stated in the scope. A quotation is valid for thirty days unless the scope says otherwise, because crew rates and material prices can change. The desk will confirm a new quotation if a booking is placed after that period.

Invoices are issued after the job unless the scope requires a deposit or a payment on account. Standard payment terms are fourteen days from the invoice date. Where a deposit is required, the deposit is usually thirty percent of the quoted total and is applied to the final invoice. Late payment may attract interest at one percent per month on the outstanding amount, calculated from the due date, where the law allows it.

Extra time, additional crew, additional materials and additional edit hours are charged at the rates stated in the scope or, where no rate is stated, at the standard rate in force at the time. The desk will warn the client when a job is running over the booked hours, and the client may then confirm extra time in writing or ask the crew to wrap at the booked time.

All amounts are exclusive of any tax that applies unless the scope states that tax is included. The client is responsible for any bank charge, currency conversion fee or transfer fee applied to a payment.

Cancellation and rescheduling

A confirmed booking may be rescheduled once, without charge, if the request is received at least ten business days before the first booked day and the new date is available. A second reschedule, or a reschedule inside ten business days, is treated as a cancellation and rebooking and may attract the charges set out below.

Where a booking is cancelled more than ten business days before the first booked day, the client pays any non refundable cost already committed, such as a crew deposit or a specialty material order, and no other charge. Where a booking is cancelled between ten and three business days before the first booked day, the client pays fifty percent of the quoted total. Where a booking is cancelled within three business days, or on the day, the client pays the full quoted total.

Where the company cancels a booking because of an event outside its control, the client may choose a new date or a refund of amounts paid for the cancelled day, less any non refundable cost already committed. The company will make reasonable efforts to find a replacement date before refunding.

Use of the studio floor

The client may use the floor for the purpose described in the scope. The floor is not to be used for any unlawful purpose, for anything that creates a serious risk to people or property, or for a purpose that requires a licence the client has not obtained. The client is responsible for obtaining any permit needed for the production, including a permit for filming in a public area outside the studio.

The client must keep the loading corridor clear, lift heavy cases rather than drag them, and wear shoe covers on clean paint days. Nothing may be nailed, screwed or taped directly to the cyclorama. Anything that could mark the wall must be set on a protective surface supplied by the studio. The client must leave the floor in the condition it was found, apart from normal wear from the shoot.

The studio reserves the right to enter the floor at any time for safety, maintenance or building access. Where possible, the desk will give notice before entering during a take. The client may not sublet the floor or resell studio time without the written agreement of the company.

Lighting grid and equipment

The lighting grid is rigged and adjusted by studio staff or by a crew member approved by the desk. A client may not change the rigging without that approval, and may not exceed the load stated on the circuit map. Every head is safety checked before use, and the desk keeps a written record of the circuit assignment after each change.

Equipment supplied by the studio remains the property of the company. The client is responsible for the equipment while it is in their care and must return it in the condition it was supplied, apart from normal wear. Lost, damaged or unreturned equipment is charged at replacement value, less any amount recovered from insurance.

Gels, diffusion and tape are consumables and are charged where a large quantity is used. The desk will confirm any consumable charge in writing before it is added to the invoice.

Edit suite use

An edit suite is booked for a named editor or a named team. The room may not be shared with another client during a booked session without the written agreement of the desk. The studio supplies the room, the calibrated displays and a network connection. The client supplies the project drive, the editing system and any plugin licence needed for the work, unless the scope states that a house editor or a house system is included.

The client must not install software on a house machine without the approval of the desk, and must not connect an unverified drive to the studio network. The desk may scan a drive before it is connected and may refuse a drive that poses a security risk.

A session ends at the booked time. A client who needs extra hours should ask the desk before the session ends, and the extra time is charged at the rate in the scope where the room is available. The studio is not responsible for a missed deadline caused by a client drive failure, a software fault on a client system or a late change to the creative brief.

Set builds and carpentry

A set build is quoted from a drawing, a photograph or a written description with dimensions. The client approves the quote and the design before the bench begins work. Changes to a design after work has started may attract a change fee and a revised delivery date.

The studio builds to a normal commercial standard for photographic use. A build is not certified for structural use, for public assembly, for load beyond the stated limit or for outdoor weather unless the scope says otherwise. The client is responsible for telling the desk if a build will carry a person, a heavy prop or a moving part, so that the bench can design it properly.

Reusable build pieces may be stored for a later campaign at the standard storage rate. One off builds are dismantled after the job and the material is sorted for recycling where possible. Ownership of a custom build passes to the client on full payment, and the client arranges collection within fourteen days unless a storage arrangement is agreed. The company may reuse a generic build design, but will not reuse a design that was created exclusively for one client without written permission.

Product shoot days

A product shoot day includes the table top bay, the tether desk, a selection of stands and modifiers, and the time of a studio assistant, as set out in the scope. The client supplies the products, any specialty props and any licences needed for the images. The client is responsible for the condition of the products on arrival and for any safety information about a product that could present a hazard, such as a battery or a pressurised container.

The studio runs a tested capture workflow with a tethered display, a folder structure for each product, a copy to two drives and a shot log. The client may review the shots during the day. The studio does not guarantee that a particular product can be photographed in a particular way until the lighting team has tested it, and the desk will say so before the day is booked.

Retouching is not included in a product shoot day unless the scope says so. Where retouching is added, the studio will state the number of images, the level of work and the delivery date. Extra rounds of retouching beyond the agreed number are charged at the standard rate.

Crew call coordination

The desk assembles a crew from a regular list and passes crew rates through at cost, with a booking fee per shoot day stated in the scope. The client approves the crew list and the total crew cost before the crew is called. A change to the crew list inside three business days of the shoot may attract a cancellation charge from the crew member, which is passed through to the client.

The desk issues one call sheet with the address, the lift access, the parking note, the call time, the meal break and the wrap time. The client must tell the desk promptly if any of those details change, so that the sheet can be reissued to the crew. The client is responsible for the behaviour of its own team on site and for any direction given to the crew during the job.

Where the studio pays a freelancer on behalf of the client, the studio will invoice the client for the hours worked and pay the freelancer under the agreed terms. The studio is not the employer of the freelancer for the purpose of any statutory benefit unless a separate agreement says so.

Client material and intellectual property

The client keeps ownership of the client material it supplies and of the images, audio and files created for it during the job, once the invoice is paid. The studio keeps ownership of its equipment, its set pieces, its templates, its tested lighting recipes and its working documents. Nothing in these terms transfers ownership of studio material to the client.

The client grants the studio a limited licence to use the client material for the purpose of the job, including storage, backup, editing and delivery. That licence ends when the job is complete, apart from the retention described in the file handover section.

The studio will not use an image from a client job in a portfolio, on social media or in a promotion without the written approval of the client and, where relevant, the person pictured. If approval is given, the client may withdraw it at any time, and the studio will remove the image from future use within a reasonable period.

The client confirms that it has the rights needed to use any material it supplies, including music, stock footage, fonts and images of people. The client is responsible for any claim arising from material it supplies without the necessary rights.

File handover and storage

Camera files, audio, proxies and project files are handed over on the client drive at the end of the job, with a checksum log that allows the client to verify that every file arrived intact. The client should check the handover before the crew leaves the studio where that is practical, and should report any missing file within five business days.

The studio keeps a working copy on a local array only while the job is open and removes it once the agreed handover window closes. The standard window is ten business days after the final handover. A longer archive can be arranged in writing for an additional fee, and it is kept on an encrypted volume with access limited to named staff.

The studio is not responsible for a loss caused by a client drive failure, a client deletion or a client decision to stop paying for an archive. Where a file has been removed under this section, the studio may be able to recover it from a backup for a short period, but recovery is not guaranteed and may attract a fee.

Conduct on site

Everyone on the floor must treat the studio and the people in it with respect. Harassment, discrimination, bullying and aggressive behaviour are not tolerated. The studio may ask a person to leave the floor if their behaviour creates a serious risk to safety or to the wellbeing of others, and the client remains responsible for the booking and the invoice.

The studio is a working space with equipment in use. Visitors should stay in the areas assigned to them, should not touch equipment without permission and should keep a clear path to the exits. Smoking, open flames and any activity that could set off the fire alarm are not permitted on the floor without the written approval of the desk.

Music and sound must be kept at a level that does not disturb other bookings or neighbouring units. The client is responsible for obtaining any music licence needed for a recording or a broadcast that uses commercial music.

Safety and damage

The client is responsible for carrying out a risk assessment for its own production and for briefing its team on the risks. The studio provides a general safety walkthrough at the start of a booking, covering the exits, the power, the lifts and the rigging rules. The client must follow that walkthrough and must not disable a safety device or block an exit.

Any accident, near miss or damage must be reported to the desk as soon as it is safe to do so. The client is responsible for damage caused by its team, its guests or its equipment, apart from fair wear and tear. The cost of repair or replacement will be added to the invoice where the damage is caused by the client or its team, and the studio will provide a written account of the cost.

Children and animals may be brought onto the floor only with the advance approval of the desk and only where a responsible adult is present. The client must tell the desk about any animal in advance so that the floor can be prepared and the cleaning cost can be explained.

Insurance and liability

The company holds insurance for its premises and its own equipment as required for the operation of the studio. The client is responsible for insuring its own equipment, its own crew and its own production. The studio does not insure a client camera, a client drive or a client prop, and it is not liable for a loss of that property or for a loss of profit caused by that loss.

Subject to the law, the liability of the company for a claim arising from a booking is limited to the total amount paid by the client for the booking in question. The company is not liable for indirect loss, loss of profit, loss of reputation or loss of data where the client has failed to keep its own backup.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that the law does not allow to be limited. If a claim relates to a period when the studio could not be used because of a fault on the premises, the company will refund the unused portion of the booked time or offer a replacement date.

Events outside our control

The company is not in breach of these terms if it cannot perform because of an event outside its reasonable control, such as a fire, a flood, a building closure, a power failure, a pandemic, a public order restriction or a government direction. In that situation the company will contact the client as soon as it can, will take reasonable steps to protect equipment and files, and will offer a replacement date or a refund of amounts paid for the affected time, less any non refundable cost already committed.

Where a client cannot attend a booking because of an event outside its control, the cancellation section applies, but the desk will look sympathetically at a request to move the booking to a new date where the calendar allows.

Confidentiality

The company keeps client material, product launches, campaign plans and other non public information in confidence. Information is shared internally only with staff and crew who need it for the job, and externally only with the consent of the client or where the law requires it. Crew working on a job are briefed on the confidentiality rule and are asked not to photograph or publish anything from the set without permission.

The client keeps the studio rates, the scope and any studio information marked as confidential in confidence, and does not share them with a third party outside its own organisation without the agreement of the desk. This clause continues after the booking ends.

Privacy and personal data

The company handles personal information in the way described in the Privacy Policy. The Privacy Policy explains what is collected, why it is used, how long it is kept and how a request to access or correct a record can be made. By placing a booking, the client confirms that any personal information it shares about its own team, its talent or its guests has been collected lawfully and may be shared with the company for the purpose of the job.

Where a client shares information about talent, models or contributors, the client is responsible for obtaining the consents and releases needed for the production, including a release for the use of likeness in the agreed media. The company will store those records securely and will return or delete them on request where the law allows.

Suspension and termination

The company may suspend a booking or refuse access to the studio where a client has not paid a previous invoice, has breached these terms, has put people or property at risk or has behaved in a way that makes the studio unsafe. Where a suspension is caused by a payment issue, the booking resumes when the outstanding amount is paid or a written payment plan is agreed.

Either party may end the agreement for a booking where the other party commits a serious breach and does not fix it within five business days of a written notice. Ending the agreement does not cancel an invoice for work already done or release the client from the responsibility for damage already caused.

Governing law and disputes

These terms are governed by the laws of Singapore. The parties will try to resolve a dispute by working together in good faith before taking any formal step. A dispute should be described in writing and sent to the studio desk, which will reply in writing within ten business days and propose a meeting or a call.

Where a dispute cannot be resolved by discussion, the parties submit to the non exclusive jurisdiction of the courts of Singapore. Nothing in this section prevents either party from seeking urgent relief from a court where that is necessary to protect property or confidential information.

Contact

Questions about these terms, a quotation, an invoice or a booking should be sent to the studio desk. The desk answers messages during business hours and will reply in writing so that both sides have a clear record.
